ReMeP is organised by Agentur Montesole GmbH, a marketing agency with its seat at Tuchlauben 8, 1010 Vienna, Austria (“Montesole”). Montesole respects and is committed to protecting your privacy. This privacy policy will help you understand what data we collect and why we collect it, and inform you about your rights in this respect.
Scope
This privacy policy applies to all personal data processed by employees of Montesole as well as volunteers, contractors and partners when acting on behalf of Montesole. Your data may be collected
- on the ReMeP Websites (https://www.remep.net and https://www.remep.live) (“ReMeP Websites”);
- the ReMeP Platform on Rocket.chat (“ReMeP Platform”); and
- in any other way you make it available to Montesole.
Information collected
What is personal data?
Personal data is information about natural persons whose identity is determined or determinable. Such data can be, for example, name, address, billing data, contact data as well as data on payments, contracts, business relationships, etc.
What data do we collect?
Montesole processes the following personal data:
- Your name and contact details (esp. email-address)
- Education and professional information
- Communication information and preferences
- Registration and participation in ReMeP conferences and other events
- Purchasing and payment information
- Information about the device(s) you use
- Information about service usage
- Cookies
- Authentication data
- Location information
- Author and peer review information
- All other information which you upload or provide to us
- Your username and roles assigned to you
- Status (online or offline)
- Content (texts, links, pictures, videos, etc.) you share on the ReMeP platform
- Images of you (for instance in case you are a speaker or participant of a workshop in the context of a video conference)
- Your content (questions, etc.) in the ReMeP chat on the ReMep Websites
- Logging data (for details see below)
How do we use your data?
Montesole uses (and, where specified, shares) your personal information for the following purposes:
To process transactions
Montesole uses personal data such as your name, company, address, phone number and email address to interact with you; for example, to contact you about your registration or application, submission or participation in the ReMeP conferences and other events. We use financial and payment information to process your registration and may need to share some of this information with other third parties to complete the registration process. This data is therefore processed for the performance of a contract resp. for the implementation of pre-contractual measures with you (Art. 6(1)(b) GDPR).
To provide support or other services
Montesole may use your personal information to provide support or other services that you request. Montesole may also use your personal information to respond to your requests for information. This data is therefore processed for the performance of a contract resp. for the implementation of pre-contractual measures with you (Art. 6(1)(b) GDPR).
To provide online forums and social networks, especially the ReMeP Platform
The ReMeP conference 2021 will be held completely virtually and streamed on one of the ReMeP Websites. Montesole maintains this platform that permits you to listen to and participate in the talks and workshops held at the conference, participate in interactive discussions, post comments or other content on the platform or otherwise engage in networking activities. Some of these services are moderated; all of them may be accessed for technical reasons by administrators of the ReMeP Platform (for example, for improvements or bug fixes). Montesole does not control the content that users post to the ReMep Platform. You should carefully consider whether you wish to submit personal information to a forum or social network and tailor any content you submit appropriately. You should also review any additional terms and conditions that may govern your use of these services, including terms related to sharing your personal information and receiving communications. This data is therefore processed for the performance of a contract (Art. 6(1)(b) GDPR) and the processing is necessary for the purposes of the legitimate interests pursued by Montesole or a third party (Art. 6 (1)(f) GDPR). The legitimate interests arise from the fact that due to the exceptional circumstances (COVID-19-crisis) the ReMeP conference 2021 could only be held virtually this year. Data on participants of ReMeP 2021 will only be processed to the extent necessary for holding the conference on the platform. This is data whose processing is not likely to affect the fundamental rights and freedoms of data subjects. Furthermore, in case of some data, e.g., postings, participation to discussions, video chats, etc., it is at the discretion of the user to what extent he/she makes them available on the ReMeP platform.
To administer your registration, application or submission
Montesole may contact you if you register for ReMeP 2021, apply for a free ticket or submit an abstract to confirm certain information about. Montesole may also use this information to confirm compliance with any terms of use and may share it with your company/institution. This data is therefore processed for the performance of a contract resp. for pre-contractual measures with you (Art. 6(1)(b) GDPR).
To select content, improve quality, and facilitate use of the ReMeP Websites
Montesole may use your personal information, including information gathered as a result of site navigation, electronic protocols and cookies (including third-party cookies), to help create and personalize website content, improve the quality of the website, evaluate page response rates, conduct usability testing, and facilitate your use of the websites (for example, to facilitate navigation and the application and submission process, avoid duplicate data entry and enhance security). Furthermore, the ReMeP Websites also provide a chat window where users can ask questions about the conference. This content entered by the users is processed
The data is processed for the purposes of the legitimate interests pursued by Montesole or a third party (Art. 6(1)(f) GDPR). The legitimate interests of Montesole are both to improve quality, user-friendly design and to ensure the operation and security of the ReMeP Websites. The data processing carried out in this context is not likely to affect fundamental rights and freedoms of the users.
To communicate with you about ReMeP
Such communication may include information about the programme of the event, event logistics, payment, updates, and additional information related to the event. Montesole may contact you after ReMeP 2021 about the event, subsequent iterations of the event and related events. Please note that other third parties may directly request your personal information during ReMeP 2021. Providing your information to them is optional, and you should review their privacy policies to address your particular needs and concerns about how they will treat your personal information.
For direct marketing purposes, Montesole processes your data on the basis of its legitimate interests (Art. 6(1)(f) GDPR) to retain existing users and keep them up to date with news. Further data processing for advertising purposes is based on your consent (Art. 6(1)(a) GDPR), which you can revoke at any time.
To consider you for the ReMeP Best Project Award
Montesole may use personal information such as your name, education and work to consider you for the ReMeP Best Project Award. Montesole may need to share this information with judges and others parties involved in evaluating your eligibility.
To engage with third parties
Montesole may share your personal data with third parties in connection with services that these individuals or entities perform for or with Montesole. These third parties are restricted from using this data in any way other than to provide services for Montesole or for the contractually agreed cooperation between them and Montesole (for example, hosting a Montesole database, engaging in data processing on Montesole’s behalf or mailing you the information that you requested). These third parties are carefully selected by Montesole and obligated to keep your data secure. The data processing is based on the legitimate interests of Montesole (Art. 6(1)(f) GDPR) as Montesole needs IT service providers to be able to provide its services to the users.

- IT service provider for ReMeP Websites: Conova Communications GmbH, Austria
- ReMeP Platform: Google Analytics, see below section “Google Analytics”
To protect Montesole content and services
We may use your information to prevent potentially illegal activities. We also use various technological systems to detect and address anomalous activity and to prevent abuse. This data processing is based on the legitimate interests of Montesole (Art. 6(1)(f) GDPR) as it is necessary to ensure the security and operation of the services of Montesole.
To get feedback or input from you
We may ask you to provide us input and feedback (for example through surveys). The processing is based on your consent (Art. 6(1)(a) GDPR), which you may withdraw at any time.
Logging
Montesole automatically records the Internet Protocol (IP) addresses of visitors to the ReMeP Website. The IP address is a unique number assigned to every computer on the internet. Generally, an IP address changes each time you connect to the internet. However, if you have a broadband connection, depending on your individual circumstance, the IP address that we collect may contain information that could be deemed identifiable. This is because, with some broadband connections, your IP address does not change (it is “static”) and could be associated with your personal computer.
We also keep track of the pages visited on our website, the amount of time spent on those pages and the types of searches done on them. Your searches remain confidential and anonymous. We use this information only for statistical purposes to find out which pages users find most useful and to improve the website.
We also capture and store information that you transmit when visiting the ReMeP Website. This includes:
- browser/device type/version
- operating system used
- date and time of the server request
- volume of data transferred
External links
Our website may contain links to other websites created and maintained by other organisations. We provide these links solely for your information and convenience. When you visit an outside website, you are leaving our domain and our policies no longer apply. Google Analytics
The ReMeP Platform uses functions of the web analysis tool Google Analytics, which is offered by Google LLC (“Google”). Google Analytics uses cookies to help analysing the use of the ReMeP Platform. We use Google Analytics with IP address anonymization. Data will be transferred to the USA to Google, Google holds an EU-US Privacy Shield certification and thus guarantees a data protection level corresponding to the European Union. You can find the Terms and Services for Google Analytics under https://marketingplatform.google.com/about/analytics/terms/us/.
You can revoke your consent to the use of Google Analytics at any time.
Storage duration of your data
Your personal data will only be stored by Montesole for as long as it is necessary to fulfil the described purposes:
- Personal data on the ReMeP Websites: Your session cookies will be deleted after your website visit. Logging data (such as your IP address) is retained for 14 days for the purpose of security reasons. Your personal data on the ReMeP Websites will be retained generally for four years and beyond that as necessary for the assertion, exercise or defence of legal claims.
- Personal data on the ReMeP Platform: Your personal data on the ReMeP Platform will be retained generally for four years and beyond that as necessary for the assertion, exercise or defence of legal claims.
- Tax-relevant documents (e.g., contracts, business correspondence)connected with your contractual relationship with Montesole will be retained for at least nine years after the end of the financial year to which the relevant documents relates. In addition, Montesole will retain your personal data for the duration of the applicable limitation periods to the extent that is necessary to defend against possible legal claims under contract or law.
- Direct marketing: Your personal data will be used for direct marketing and other promotional purposes of Montesole until you object to this use (in case of direct marketing) or withdraw your consent (in case of other promotional activities).
Responses to legal requests
Montesole reserves the right to share your information to respond to duly authorized information requests of governmental authorities or where required by law.
In the event of bankruptcy, merger, acquisition, reorganization or sale of assets, your information may be sold or transferred as part of that transaction. The promises in this privacy policy will apply to your information as transferred to the new entity.
Profiling and automated decision making
Montesole will not use your personal data for purposes of profiling or automated decision making.
Your rights as a data subject
In accordance with the applicable data protection regulations, you have the right at any time to obtain information about the type and scope of the personal data about you and by you (see Art. 15 GDPR), unless the provision of this information jeopardizes a business or trade secret of Montesole or a third party.
Furthermore, you may at any time request Montesole to correct or delete personal data stored about you (see Art. 16 GDPR). Provided that your request for deletion or correction is justified and no legal requirements or legitimate interests conflict with it, we will comply with it.
In addition, you may object to the processing of your data for reasons arising from your particular situation (see Art. 21 GDPR), provided that the processing is carried out for the legitimate interests of Montesole; this also applies to direct marketing based on this provision. In the event of an objection, Montesole will no longer process the personal data concerning you, unless Montesole prove compelling legitimate reasons that outweigh your interests or the processing serves to assert, exercise or defend legal claims.
In case of your consent to the use of your personal data, you can revoke this consent in writing at any time with effect for the future. You also have the right to request Montesole to restrict the data processing (Art. 18 GDPR). This right exists in particular if (i) the accuracy of you rpersonal data is contested for the time necessary to verify the accuracy of the data and (ii) the processing is unlawful, but the deletion of the data is refused by you.

In addition, you have the right to receive from Montesole the personal data concerning you in a structured, common and machine-readable format or that Montesole transfers your personal data, as far as technically feasible, to a third party designated by you as the responsible party (Art. 20 GDPR).
